POLITICAL SCIENCE (BL-POLS-IUBLA)

Department Information


Our nationally-ranked Political Science department is one of the oldest in the nation, established in 1914. We provide a world-class education in all aspects of political science. We teach courses in American politics, the politics of countries around the world, the politics between nations and international actors, political philosophy, and research methodology. Our students are engaged in political life in Indiana and around the world.

We offer a B.A. in Political Science, as well as 2 dual degrees with Economics and Philosophy and several minors. Our undergraduate students are encouraged to build specializations in areas such as international relations, world political regions, and political theory. We also coordinate internships, service learning, and on the job learning experiences to help you develop skills to build your career.

Training the next generation of political scientists is part of our mission, too. We offer a graduate degree in Political Science, as well as a Ph.D. minor for students pursuing a graduate degree in another department or school. As part of their training, our graduate students teach courses in their specialties, under the supervision of experienced faculty members.

Job Summary


Department Specific Responsibilities

  • Supports the Chairperson and Department Administrator.
  • Works closely with fiscal officer to uphold University, College, and Department policies and procedures, as well as department budgets.
  • Forwards monthly operating statement to faculty on a monthly basis.
  • Payroll processor and processes all edocs and documents associated with faculty, staff, graduate student, adjuncts, and hourly pay.
  • Oversees Tenure and Promotion cases and works closely with faculty from beginning to end for all details of this process
  • Handles all purchasing for the department, processes reimbursements, and reconciles credit card purchases
  • Assists Personnel Committee throughout the year including working with the committee with creating spreadsheets for yearly faculty reviews
  • Travel processor for Political Science, processes reimbursement for faculty travel, visitors to the department which includes processing honorarium. Prepares itineraries for visitors to department.
  • Provides clerical support for faculty recruitment, including the posting in PeopleAdmin, corresponds with recruits with for travel arrangements, prepares itineraries and works closely with the recruitment committee on the details of the search
  • Oversees the faculty/staff department intranet

General Responsibilities

  • With minimal supervision, performs financial and administrative tasks related to processing financial or other administrative records.
  • Takes on more complex assignments and provides guidance to lower-level Financial Administration Coordinators.
  • Maintains records of financial transactions, compiles data, and prepares reports. May oversee the processing of documents into the university's central information systems (Travel, KFS, HRMS, etc.).
  • Investigates and resolves discrepancies that require more advanced knowledge and experience; following policies and procedures, recommends audits.
  • Assists in designing, documenting, and implementing processes.
  • Processes payroll and verifies accuracy of payroll information. Verifies accuracy of adjustments to payroll including supplements and garnishments.
  • Monitors financial accounts and ensures timely payments are made to payees.
  • Responds to inquiries regarding financial and/or personnel policies and procedures; takes the lead on the most complex cases within their scope of work.
  • Serves as liaison to department and/or other university divisions.

Qualifications


EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

Preferred

  • Associate's degree

WORK EXPERIENCE

Required

  • 4 years of relevant experience

Working Conditions / Demands


This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
