I. Job Title: SPOE Ring Central Administrative Assistant

II. Reports To: SPOE Supervisor/Executive Director

III. Funding:
Funding for this position is subject to annual grant renewal provided through a grant with the New Jersey Department of Health.

IV. Principle Purpose of Position:

To provide administrative/clerical support for the System Point of Entry within the southern region (Atlantic,
Burlington, Camden, Cape May, Cumberland, Gloucester, and Salem counties)

V. Criteria/Qualifications
o High school diploma or GED or Associate degree;
o Bi-lingual (Spanish) preferred;
o Ability to work effectively with families;
o Strong ability to communicate effectively both verbally and in writing;
o Ability to organize, plan and implement activities;
o Ability to maintain accurate, legible and complete documentation;
o Knowledge of computers (Microsoft Office and Excel);
o Ability to handle confidential and sensitive information;
o Good problem solving skills;
o Ability to work with diverse populations and demonstration of cultural competence;
o Demonstrates sensitivity, knowledge and understanding of the challenges families with a child with disabilities may experience;
o Ability to manage multiple tasks simultaneously;
o Willingness and ability to work as a team member within the early intervention system;

VI. Salary Range

Commensurate with experience. The hourly rate must be approved by DOH-EIP.

VII. Roles and Responsibilities:
o Retrieves call on a daily basis from the System Point of Entry (SPOE) referral line and obtain family contact information and enters information into the Early Intervention Management System (EIMS);
o Contact referral source to obtain missing information;
o Saves initial call information
o Assist with the referral paperwork (Welcome Packet, Eligibility Packet and Ineligibility Packet); copying and mailing
o Typing, mailing and coordinating of the “no contact” letter
o Opening, dating and distributing incoming mail
o Retrieves calls from the office phone lines

VIII. SNJREIC Standards o Promotes the mission and philosophy of SNJREIC by acting in a caring, courteous manner towards members of the
Early Intervention System and the community at large; o Demonstrates proper, efficient and courteous telephone manner at all times;
o Maintains confidentiality of information without exception, insuring that information related to families who participate(d) or may participate in early intervention is only revealed or discussed where and when appropriate;
o Consistently adheres to SNJREIC policies and procedures;
o Consistently participates in cost containment efforts. Maintains proper and efficient use of equipment, time allocation, supplies, phones, and/or other SNJREIC resources;
o Willingly and flexibly accepts additional duties and/or responsibilities as assigned.

Clerical Support position o The Clerical Support position is expected to perform other such duties as the SPOE Supervisor and/or Executive
Director may prescribe o Full-time position (35 hours/week; twelve months/year)
