Job Description

The School of Biological Sciences (SBS) in the College of Arts and Sciences (CAS) is looking for a motivated individual with strong administrative, organizational, and record-keeping skills to join our team as an Administrative Assistant supporting CAS’s research and scholarship enterprise. This position provides support for faculty, professional staff, and students in the school while working with people from a wide variety of academic and administrative units across campus.

Responsibilities
  • Oversight and performance of various day-to-day administrative functions.
  • Performance of regular secretarial duties for the school, including reception; typing and photocopying correspondences, exams, reports, manuals; ordering office supplies; scheduling meetings and maintaining appointment calendars; screening incoming mail; and similar duties.
  • Initiating and processing various administrative, financial, and operations forms and other documents, ensuring timely and accurate completion of documents by school faculty and professional staff.
  • Organizing and maintaining various school files and records, including digitized records. This involves the design and use of appropriate databases and data management systems data input, and generation of reports.
  • Developing and maintaining various logs and record-keeping systems related to assigned functions.
  • Preparing and coordinating school mailings and electronic communication.
  • Perform various bookkeeping functions including monitor financial activity, organizing and maintaining financial records.
  • Performing basic liaison functions with students, faculty, staff, parents (when appropriate), and/or other school constituents. Example duties include communicating policies and procedures, answer questions, coordinate services and assistance, addressing special requests or problems and routing to senior staff members as appropriate.
  • Performing other specialized or technical administrative tasks related to the school’s mission.
  • Conferring regularly with immediate supervisor, other school or University personnel, and/or various organizations and/or individuals outside the University to coordinate activities, obtain information, and resolve problems.
  • Train and oversee the work of student assistants.

Qualifications
An associate degree is required (bachelor’s degree preferred), plus 1 to 2 years of relevant administrative experience or a combination of education and experience from which comparable knowledge and skills are acquired.
  • A broad knowledge of general clerical skills, including word processing, filing, phone and office reception.
  • Good basic administrative and organizational skills. Experience organizing and maintaining files and records. Previous experience with computerized information systems desirable. Some bookkeeping training or experience is also desirable.
  • The ability to work effectively with a wide variety of University personnel, students, and/or individuals/organizations outside of UNE.
