Job Description

NOTE: This position requires long periods of sitting at a desk while working at a personal computer and completing

paperwork. It also requires intermittent periods of standing, bending, stooping, lifting light items, and filing in lateral and

vertical file cabinets (which involves pulling, pushing, and reaching motions). The incumbent regularly works at a computer

and uses standard office equipment, requiring a high degree of manual dexterity and repetitive hand movement. Work

also involves regularly lifting light objects (e.g., reams of paper, shipments of office supplies) and occasionally lifting heavier

objects (e.g., boxes of paper). Work requires the ability to see information in print and/or electronic form.

Overview: The Administrative Specialist provides complex and confidential administrative support to the FCPL Director

and administration team. Provides general support of Library Board activities.

Hourly Pay: $20.69 (Non-Exempt)

Schedule: Full-time, 40 hours per week. Schedule includes weekday, daytime hours (Monday – Friday).

Responsibilities:

  • Performs support and assistance for the Director and administrative team: Works directly with the Director, Deputy
Director, Programming Manager, Communications Manager, and other administrative staff to support the operations of

the library system. Assignments will range from routine tasks (e.g., compiling statistics, updating reports,) to occasional or

special projects (e.g., researching specific topics). Creates, proofreads, updates, distributes, or otherwise uses a variety

of documents, spreadsheets, and reports. Drafts, edits, and proofreads correspondence and other

communications. Demonstrates excellent business writing skills. Researches policies, procedures, and best practices as

requested. Maintains and monitors calendars related to administrative functions. Performs recordkeeping tasks. Plans

meetings and events as assigned. Coordinates details such as meeting site reservations, room setup, food/beverages,

audio visual, handouts, programs/agendas, communications, or other details appropriate to ensure a successful

event. Conducts errands when needed (e.g., purchasing or picking up supplies). Provides back-up support to Support

Services (Finance & Human Resources) as assigned. Keeps supervisor appropriately informed of relevant issues (such as

status of work, discrepancies in information or data, employee questions, potential problems, unusual situations, and

other pertinent information). Maintains confidentiality of any sensitive information to which the incumbent has access.

Provides excellent customer service to FCPL staff and members of the community. Conducts and presents oneself in a

manner that promotes a professional and positive impression of the Library. Treats all customers with respect and

courtesy.

  • Supports Library Board Activities: Prepares and maintains Board documentation, including meeting agendas, minutes,
meeting summaries, rosters, schedules, affidavits, and other documents. Maintains official Board records. Ensures

timeliness and accuracy of Board documentation. Prepares and distributes meeting documentation to Board

members, management staff, and others as appropriate. Monitors and ensures FCPL compliance with the Georgia

Open Meetings Act. Posts documentation for public review and submits notices to the media. Attends Board meetings.

Takes notes at meetings.

Requirements:

Minimum: HS Diploma/GED. Combination of education and experience that provides strong administrative and business

writing skills, with emphasis on accuracy, thoroughness, attention to detail, research, and proper use of grammar, spelling,

and formatting. Strong technology skills, with proficiency in Google Workspace, Canva, and Microsoft Office. Excellent

customer service, interpersonal, and verbal communication skills. Ability to handle confidential, sensitive situations in a

tactful, professional manner. Strong organizational and recordkeeping skills. Preferred: BA or BS in related field. Experience

in a public library. Experience providing administrative support in the public sector, or for a governing body.
